Duties:
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions. Maintains security by following procedures; monitoring logbook; issuing visitor badges.
 
Main Job Tasks and Responsibilities:
•       answer telephone, screen and direct calls them
•       take and relay messages to appropriate person
•       provide relevant information to callers
•       welcome and greet visitors/clients entering organization
•       direct visitors to correct destination
•       deal with queries from the public, customers and clients
•       ensure knowledge of staff movements in and out of organization
•       monitor visitor access and maintain security awareness on the reception area
•       provide administrative and clerical support
•       prepare correspondence and documents
•       receive, process, sort mail and deliveries
•       schedule public appointments
•       maintain appointment diary either manually or electronically
•       organize conference and meeting room bookings
•       co-ordinate meetings and organize catering
•       monitor and maintain reception office equipment
•       control inventory relevant to reception area
•       tidy and maintain the reception area
Education and Experience:
Minimum 5 years full time as Administrator /Receptionist, with written recognisable reference letter, from last employer.
•       minimum higher or diploma in office administration
•       knowledge of administrative and clerical procedures
•       knowledge of computers, software, word, excel, power point, outlook
•       knowledge of customer service principles and practices
•       keyboard skills / typing skills
•       ability to work a switchboard

SALARY PACKAGE MINIMUM: R78 000 TO R108 000 PER ANNUM
