Main Purpose of Job
To provide an effective and efficient administrative and secretarial support service to managers and a team
Qualifications & Experience required
- Diploma
- Experience using the suite of Microsoft Office software, specifically Excel, Word and PowerPoint
- Minimum 2 to 3 years experience in a similar role
What you’ll do / Specialized Competencies
- Filing, faxing, printing, binding, photocopying of documents submitted by the business and other day-to-day administrative activities.
- Order and maintain stationery and equipment supplies.
- Undertake any other duty and work on ad hoc responsibilities appropriate to the post as requested by the business
- Receive visitors into appropriate meeting rooms
- Proactively prepare for and receive new hires in the business area (includes logistics such as office space, arranging computer etc.)
- Collate statements, purchase requisitions and expense claims for the business
- Relieves receptionist during lunch time
- Update contact lists by tracking new and existing clients
- Manage in/pending/out trays
- Assists team members as required which may result in interruptions and unforeseen deviations from plans
- May be expected to work over and above the standard business hours due to the nature of the business.
- Liaison with Team Leaders in the Centre of Excellence and secretaries for all work related matters as and when required

- Liaises with management regarding setting of meetings, prioritisation, etc.
- As directed, sources documents / information required for meetings and maintains a record of these for reference
- Filters general information, queries, phone calls, emails, and refers on to relevant individuals where appropriate
- Responds to email / mail directly where possible and prepares correspondence for signature as needed
- Maintains confidentiality of work matters
Development/Growth of Team
• Remains updated on issues relating to the Service Area

• Drafts accurate record of invoices/PR’s and submits these timeously
• Effectively uses time, equipment and resources
Technical
- Fully competent in MS Office Suite and any other programs relevant to role
- High competency in English communication, both written and verbal

- Ability to operate office equipment such as fax, photocopier, printers, etc.
- Able to work as a team member and ensure that as a group all staff in a unit work together for delivery of best possible service to the department for which they collectively work.
