Job description

Our client, a corporate company situated in Johannesburg and who are embarking on a major IT Transformation Programme are wanting to employ a Portfolio Training Specialist / Lead to join the team.  
Role Purpose and Objectives:
As our client undergoes a transformation and commences its journey to execute its business strategy and Group IT has been identified as a key enabler.
To effectively support the group and numerous businesses moving forward, IT will itself need to radically evolve into a strategic business partner that delivers focused and commercially responsible strategic technology solutions with a significantly greater level of maturity.
This new role seeks to establish new capability, disciplines and functionality not previously in existence within the group, as well as incorporate existing activities into its accountability over time.
The objectives of this role:
The Portfolio Training Specialist’s primary objective is to support Group IT changes to systems and business processes across project portfolios with appropriate and effective training initiatives to fully deliver the anticipated benefits.
Key Responsibilities:
Training strategies and requirements definition

  • Develop and manage portfolio training strategies with clear lead times for training preparation and contract this with the project team and business, considering:

–           The content to be trained
–           The most suitable format for training
–           The syllabus of courses to be trained
–           Who should be trained in what
–           Who should present training
–           The timeline for training
–           Prerequisites for training and any gaps that may exist
–           The scope of interventions designed to close prerequisite

  • Provide training guidance and expertise to dedicated project portfolio resources
  • Engage with Executive Change Management and project stream resources to communicate training issues; ensure timely training issue identification, resolution, and appropriate escalation

Infrastructure

  • Manage project portfolio training administrators to identify and secure physical training infrastructure and venues
  • Manage and coordinate the setup of ICT environment to be used for training on projects/initiatives

Material development

  • Manage and coordinate the development of project portfolio training material, training documentation, training presentations,  quick user guides, etc. according to the company’s learning and development principles
  • Contextualise all training within business processes
  • Ensure approval and sign-off of deliverables (Business and IT)
  • Develop training “certification” tests and set a pass rate which determines whether delegates should be granted access to the system according to specific project stream requirements.
  • Plan for the maintenance of training material

Training scheduling

  • Manage and coordinate project portfolio training administrators to ensure that

–           End-users are scheduled for applicable courses
–           Reschedule end-user if required
–           Capture attendance of end-users
–           Report training progress and attendance to stakeholders

Training delivery

  • Manage and coordinate training delivery across various project portfolios
  • Ensure training delivery realises as per training plan and according to set standards
  • Monitor training effectiveness

Documentation and record keeping

  • Manage and coordinate training administrators in the various project portfolios to ensure that:

–           The documentation and record keeping approach to be used has been defined
–           Document types and templates have been standardised
Embedding

  • Develop project portfolio training embedding strategies and plans to ensure ongoing maintenance of training material and training delivery after the initiative concludes

  • Ability to develop creative and effective presentations
  • Ability to deliver training content in a format and style that is audience appropriate
  • Good ability to convincingly and confidently convey training content to an audience
  • Has superior oral and written communication skills.
  • Ability to develop creative presentations

People Skills  

  • Knowledge of individual and team dynamics
  • Ability to engage effectively with a wide spectrum of individuals and groups
  • Works effectively with all levels of management; provides detail guidance to project team members

Computing Skills / Knowledge           

  • Advanced PC skills – Power Point; Word; Excel; Visio
  • Advanced skills on creating training simulations on any of the simulation software packages (e.g. Camtasia)

Professional Qualification Requirements:

  • Degree (e.g. BA, B.Ed, B.Com) or equivalent experience in training development and delivery in the project  environment

Experience:

  • Minimum 6-8 years’ training experience in the IT project delivery environment (at least five full project lifecycles)
  • Demonstrated attention to quality of processes
  • Experience within a consulting environment would be an advantage
  • Knowledge of the retail business and the criticality of processes supported by technology to facilitate the assignment of priorities for problems
