Interactive Research and Development South Africa (IRD SA) is registered as a South African-based nonprofit company (NPC). IRD SA works extensively in Southern Africa providing healthcare delivery and research. The IRD SA team leverages process and technology innovations to address gaps in global healthcare delivery, including health market innovations based on social business models, introduction of new diagnostics, drugs and vaccines; performance-based incentives for health workers.
Job Title: Administrative Assistant
Job Location: Johannesburg
The purpose of the position is to provide efficient and responsive administration, organizational and logistic support to the IRD SA Finance, Operations and Budgeting unit as well as offer administration coordination with other project units, and support the Country Director.
Responsibilities:
- Coordinate and submit weekly/monthly reports or any other reports as requested
- Participate in Operations Team meetings, take notes/prepare minutes as well as follow up actions on behalf of the unit as needed
- Assist in the preparation of reports and ensure that these are completed on time
- Ensure that meetings and calendars within the various projects are up to date as well as scheduling and coordination the project unit appointments and meetings
- Coordinate travel arrangements and logistics in close liaison with the finance unit
- Provide support to do the cash book, as well as, being responsible for coordinating office supply procurement per IRD SA procurement policy
- Prepare finance records for approval by the Project Managers
- Maintain office supplies by checking inventory
- File documents
- Perform other similar tasks as needed
Requirements:
- Diploma in Administration, or an equivalent training and experience
- Previous experience in working with a variety of donors, such as USAID, CDC, UN agencies, the World Bank and other foundations is preferred
- Two to five years’ of experience providing administrative support at project level
- Self-direct, self-motivated, with attention to details
- Strong organisation and time management skills
- Interpersonal skills and a strong team player with proven communication, diplomacy, and problem solving skills
- Ability to communicate well with all levels of staff, internal management as well as clients
- Strong writing skills and ability to produce documents and reports primarily in English
- Proficient in Microsoft Office applications (Word, Excel and PowerPoint)
