Job description
Bookings
- Sending of booking correspondence to schools and all relevant parties.
- Receiving all requests/booking forms.
- Making follow up calls to acknowledge receipt of request.
- Capturing the booking on the relevant database.
- Liaising with all parties RE the confirmation of the booking.
- Sending written confirmation to the school and all relevant parties regarding the bookings.
- Making a follow-up call to receive that the school has received the confirmation fax/email.
- Schedule appointments with new and inactive schools to introduce the Woolworths educational component offerings and to inform all new schools of events and competitions.
Targets
- Ensure annual target, set by client, is met.
Database management
- Databases are to be updated daily on the template provided.
- Databases are to be updated as per instruction of the NC.
- Send updated databases for all components to the NPM weekly/where and when requested.
Feedback
- Send feedback forms to schools and relevant supplier/store/or DC after the tour/talk has been completed.
- Ensure completed feedback forms are received back within one week of sending.
- Capture, scan and save feedback forms, and file hard copy.
- Send to national coordinator within one week of tour/talk.
General administration
- Prepare an agenda for/host, and minute weekly status meetings with the RM.
- Know the whereabouts of the school rep at all times.
- Prepare weekly status reports which is to be forwarded to the NC weekly.
Field visits
- Visit three experiential programme components within the fiscal, or on request of the RM.
- Assist on all events/competitions.
Manage campaign elements
- Keep an inventory of all campaign elements.
- Ensure all campaign elements are need and tidy.
- Inform the national coordinator when there is a shortage of campaign elements.
Relationship management
- Build and maintain relationships with schools, suppliers, stores, the DC and relationship manager.

- Filing up to date
- Saving work according to protocol.
- Organised and tidy office and desk.
Presentation
- All writing in the same font type. Writing in same size font (all headings one size, paragraphs one size) for all emails and written communication.
