STUDENT FACILITATOR – INTERNATIONAL HOTEL SCHOOL – PRETORIA CAMPUS

The International Hotel School is looking for a professional and dynamic person to fill the role of their Student Facilitator at their new Pretoria Campus.
Reporting directly to the Managing Executive, the Student Facilitator performs administrative duties relating to the Full Time Department of the Campus.
Key Outputs:
• Properties
• Administer the Property Agreements.
• Liaise with all properties with regards to numbers of students for placement throughout the year.
• Communicate start and end dates, student information and general rules to the properties 10 days prior to commencement.
• Communicate start and end date, property information and general rules to the students 10 days prior to commencement date
• Form partnerships with new properties.
• Liaise with the General Manager and Heads of Departments within the properties.
• Meet with Management who have issues with students.
• Allocate HM, HOP, CMCA, Patisserie and Advanced to properties that are accessible to them.
• Perform Bi Weekly visits to the Properties in the Durban area at set times.
• Record meetings with students.
• Change property where necessary and there is a valid reason for the move.
• Work Integrated Learning Counselling
• Liaising with HM, HOP, CMCA, Patisserie and Advanced students concerning non-academic performance and behaviour in the workplace.
• Issue warnings where students have broken the WIL Code of Conduct.
• Producing evidence of students who have broken the WIL code of conduct, for disciplinary purposes.
• Perform the position of Charging Officer in Disciplinary Hearings where the WIL code of conduct has been violated.
• Administration/Marking Files
• Marking of all HM, HOP, CMCA, Patisserie and Advanced WIL books;
• Work closely with students who are not yet competent, missing evidence or hours.
• Filing of student correspondence;
• Archiving of WIL Books;
• Work closely with the accounts department regarding student status;
• Work closely with the academic team regarding student Issues;
• Work closely with the academic administrator regarding marks and Student Issues;
• Prepare and maintain WIL Books for verification and audits;
• WIL Third Year Online Hospitality Management Students
• Manage the WIL online Third Year Hospitality Students.
• Make sure they have a legitimate placement in the time frame allocated.
• Communicate to the students via the online forum.
• Communicate to sponsors when students are not performing.
• Filing of the correspondence in students files held with the Academic Administrator.
• Mark Assignments, Work place evaluations and Time Sheets.
• Communication and Correspondence
• Handle queries from students, sponsors and properties;
• Prompt follow ups and liaisons with students, sponsors and properties;
• Correspondence Letters; Reference letters (referring to WIL)
• Communication with school management, students, sponsors regarding student performance;
• Assist students with personal issues they may have;
• Advise students of who to turn to when they need professional counselling.
• Database and ICAS
• Maintain student database.
• Maintain Student Marks in folders on the I drive.
• Send through WIL Marks to the Academic Administrator for uploading on ICAS.
• Student Job Opportunities
• Correspond with the general public, looking for students to assist at part time functions;
• Correspond with students with regards to part time functions;
• Prompt follow up to the person in charge of the function for feedback;
• Liaise with external recruitment agents;
• Set up meetings for external recruitment companies to speak to the students about job opportunities;
• Prompt follow up to the external recruitment company for feedback;
• Communicate all permanent job opportunities to the prospective students;
• Communicate all permanent job opportunities to I.H.S. marketing;
• Feedback to recruiter where necessary.
• Induction and Invigilation
• Explain the WIL Code of conduct to all new HM, HOP, CMCA and Patisserie students in a formal lecture.
• Explain what is required from students and how to record their evidence in the WIL Book in a formal lecture.
• Assist with invigilation of exams throughout the year.
• Student Support
• Student counselling;
• Student consultation;
• Student mentoring;
• Lecturing
• When required, act as a relief lecturer for academic staff during the term;
• Follow the curriculum and guidelines for the subject;
• Produce material from media and draw up power point presentations , puzzles etc;
• Produce Wine Material for the 2 day Wine induction course;
• Lecture the wine course to Traineeship as well as all the full time courses.
• Assessor Training
• Facilitate a three day Assessor Training course for new lecturers/assessors;
• Mark the candidate assessor POE’s;
• Liaise with the internal moderator;
• Mentor and guide the assessor candidates whilst they gather evidence for their POE’s;
• General
• Assist with Open Days throughout the year;
• Assist with Hirsch Demo’s and Good Food and Wine;
• Assist with any external function that requires my assistance.
• Attend workshop.

Job Requirements:

Essential Requirements:
1. A Post Graduate Diploma or Hospitality Diploma studying towards a Post Graduate Diploma;
2. A minimum of 2 years relevant working experience;
3. An ability to interact positively with students, parents, sponsors, peers and subordinates;
4. An ability to communicate well at all levels;
5. Good presentation skills;
6. A self-motivated individual who shows initiative and the ability to function as a team member;
7. Ability to work under pressure, but better still the ability to plan to avoid last minute pressure situations;
8. A high degree of integrity;
9. Competence in MS Office, MS Excel, MS PowerPoint, Internet and Outlook
10. Must have a valid drivers licence and own reliable vehicle.
11. Must be prepared to travel.
