INTRODUCTION

An international corporate company based in Kenilworth, Cape Town, is looking for a Senior Commercial Legal Secretary to provide support to the Legal Executive.

MINIMUM REQUIREMENTS

  • Grade 12
  • Paralegal qualification
  • Proven record as senior commercial legal secretary / assistant
  • Extensive experience working in a law firm’s commercial department or corporate legal department is essential
  • Experience in corporate legal department would be advantageous
  • Advance PC literacy on all MS Office programs (including Word, Excel and Outlook)

 

Job Specification

Duties:

  • Drafting of agreements
  • Advance formatting of internal and external agreements including automatic numbering, track-changes, comments in different formats, automatic cross-referencing
  • Good typing skills, at least 85 wpm
  • Dictaphone typing
  • Copy typing
  • Track-changes
  • Merge and compare of various drafts agreements
  • Preparing execution versions of agreements for signature
  • Electronic filing of documents and agreements as well as manual filing
  • Diary files management including following up with business units on diary files and processing feedback received from business units
  • Liaising with business units on an executive level
  • Processing of documentation
  • Updating of file status reports
  • Indexing of lever arch files
  • Collating and preparing reports for Exco and Board meetings
  • Implementing departmental processes and procedures
  • Query and response handling
  • Boardroom bookings
  • Travel arrangements (local and international)
  • Maintain office supplies inventory
  • General PA duties

Skills: 

  • Expert in automatic numbering, track-changes, comments in different formats, automatic cross-referencing, security settings on documents, ability to compare various document drafts are essential
  • Advanced PC literacy on all MS Word applications (including Windows, Outlook and Excel)
  • Familiarity with legal terminology
  • Excellent secretarial and administrative skills
  • Excellent verbal and written communication skills in the English language
  • Must be able to work on Executive Level
  • Strong document management skills
  • Organize, populate and maintain electronic and hard copy filing systems
  • Ability to work well under pressure in a fast paced environment
  • Demonstrate the ability to efficiently handle multiple tasks and prioritize workload accordingly
  • Provide a professionally-maintained office environment
  • Flexibility and desire to contribute when and where needed
  • Excellent communication, listening, organizational and interpersonal skills
  • Ability to work independently as well as within a team
